THE OPPORTUNITY
ENCATC is expanding its headquarters in Brussels to implement a rich and exciting 4-year programme with an emphasis on cross-sector collaboration, innovative learning models, and upskilling activities that aims at addressing current and future sustainable development challenges, To help us achieve this ambitious goal, we are seeking a motivated and detail-oriented individual that will be responsible for Operations Support and Community Engagement.
YOUR ROLE
Job summary
Working on Operations Support and Community Engagement at ENCATC, you will play a key supporting role in ensuring the smooth functioning of the organization's daily operations while also fostering a strong sense of community among our members and stakeholders.
Your responsibilities will span from administrative and financial support to active engagement with ENCATC's network and community, contributing to the global sustainability and expansion of the network.
YOUR RESPONSIBILITIES
1. Administrative and financial support for daily operations
Organise and manage daily office activities, including scheduling meetings, managing correspondence, and handling inquiries.
Assist the accountant with financial administration tasks such as invoicing, expense reporting, and budget tracking.
Coordinate with vendors, suppliers, or service providers for operational needs.
Monitoring the overall budget of the organization to ensure alignment with financial goals and insights on budget status and variances.
Collaborate with the accountant to support strategic budget planning and adjustments.
2. Membership processes management
Manage membership database, onboarding, development and renewal processes.
Act as a primary point of contact for ENCATC members, responding and providing support for financial and administrative inquiries.
Prepare reports on membership statistics, engagement metrics, and budget allocations. Collect feedback from members to inform future initiatives.
Compile insights on community needs and opportunities for continuous improvement.
3. Community and Stakeholders Engagement
Implement the 2025-2028 membership and partnership strategy of the organization to facilitate retention and enhance engagement among members and stakeholders.
Support the communication team in providing input for Flas News, announcements, and other updates.
Contribute to the design of policies aimed to promote the engagement of the youth in the network activities.
Collect data and prepare reports to support the ongoing evaluation process of the organization.
YOUR PROFILE

QUALIFICATIONS AND EXPERIENCE
- Bachelor's degree in Business Administration, Management, or a related field
- 2-3 years of relevant experience in operations, administrative support, community engagement, or a similar role
- Fluent in English, with basic knowledge of French, additional languages is considered an asset
- Proficiency with common office software (e.g., Microsoft Office Suite) and familiarity with CRM systems or databases
- Experience in marketing campaigns is an asset

- Strong organizational skills with an eye for detail and the ability to prioritize tasks effectively
- Excellent interpersonal and communication skills, with the ability to build and maintain relationships with diverse stakeholders

PRACTICAL INFORMATION
Location: Brussels, Belgium (on-site). The selected candidate will need to either live in Belgium or be willing to move to Belgium for the duration of the contract (starting in January 2025 and finishing on 31/12/2028).
Working hours: 80%, 30h/week
